Outage Update – October 30th, 2017

Update 11/09/2017 10:22pm CST:  As of 10:22 PM CST on November 9th, 2017, all missing data from the KidKare accounting outage has been restored. Please read the following post for more information: https://blog.minutemenu.com/2017/11/10/kidkare-accounting-resolution/

Update 11/08/2017 9:45am CST: The invoices and associated data that were missing from the time period of October 30th, 2017 from 2am – 10am have been restored. We are currently working with our payment vendor to verify that all payment data (including payment status) is accurate. Please continue to monitor this post for more updates.

Update 11/06/2017 5:22pm CST: There are still a small number of invoices and associated payments originating on October 30th, 2017 from 2am – 10am that have not yet been restored. Our team is working on verifying this last section of data before it is fully restored. Tomorrow, November 7th, 2017 we will be working with our payment vendor to verify that all payment data is accurate. Please continue to monitor this post for more updates.

Update 11/06/2017 10:51am CST: Invoices and payment data will be restored over the next few hours. Throughout the day we will be restoring any missing payment information. Please continue to monitor this post for more updates.

Update 11/05/2017 8:16pm CST: Progress with scripts to restore data is still in progress. Our team is working through the night to ensure that the data restored is verified as accurate. We anticipate a final update tomorrow, November 6th, in the early afternoon.

Update 11/03/2017 5:45 CST: Progress with scripts to restore data is currently in progress and testing is going well. Our team is working through the weekend to ensure that the data restored is verified as accurate.

Update 11/2/2017 10:20am CST: The data restoration process for missing KidKare Accounting data has been started. We are verifying the restored data in a test environment today so that we can ensure all data is correctly restored.  This testing will continue through tomorrow so that we can coordinate with our payment processing partner to ensure any payments that were processed are displayed in KidKare and are not duplicated.

We are anticipating having everything restored by the end of the week. If further testing is required tomorrow afternoon, we will continue to restore data over the weekend.

We understand that there may be invoice issues on Friday, November 3rd, and we are prepared to help resolve any issues that our customers are facing.

Update 10/31/2017 10:05am CST: You may still be missing info from last week. This applies to accounting data only such as invoices, payments, and mileage expenses. This does not apply to food program data. You might be seeing invoices marked as unpaid, but they are actually paid; your payments have been processed. This issue does not affect payment processing. No payments were reversed. Our team is still working on restoring your data as quickly as possible.

Update 10/30/2017 4:40pm CST: The process for restoring data from after Friday, October 27th, 2017 is in progress and is scheduled to be completed as soon as possible. Once this process is complete you will have access to all of your data. Please continue to monitor this blog for further updates.

Update 10/30/2017 12:20pm CST: Do not re-enter data that is currently not showing. We are restoring all data from over the weekend. If you re-enter your data you will have duplicate records when the full data restore is complete.

Over the weekend we updated our entire infrastructure. This update was critical for providing a more scalable and reliable environment for customer data. Our data structures, hardware, and physical location of servers were updated during this time. In moving all the data into the new environment we had some anomalies. We want you to know we have not suffered a data loss. All customer data has been retained, the anomalies we are seeing are due to an issue that occurred during the data migration.

Once again, no data has been lost. You may have seen incorrect data, or data that was not visible. This problem is currently being addressed and the complete resolution will happen within approximately 48 hours.

We are currently restoring the data back to Friday evening before the update, which has the most accurate data available. All data you currently see will be correct from that Friday evening state.

Any changes or data entries you have made after Friday will be restored within the next 48 hours. If you have created invoices or added expenses, you will see that data after 48 hours, or once our full data restore has been completed.

We have been receiving a high volume of questions regarding invoices and auto-pay. Auto-pay batches, including recurring invoices, are processed first at 4am, and again at 11am to reconcile any transactions that did not process from the first batch. We have disabled auto pay for today after the 4am batch as a precautionary measure to prevent discrepancies in data entries. This measure should not impact you, but you may temporarily see incorrect data until the full data restore is complete.

Although we had limited information available over the weekend while the outage was being diagnosed, we encourage you to follow us on social media or keep watching our blog for more updates.

Our entire development and support team have been working over the weekend and through the night to get this issue resolved. The support tickets, emails, calls, messages, and comments on social media are not going unheard. We understand your frustration and do not take any outage lightly. We are also working diligently to prevent future outages and improve communication.

Notice for System Upgrade

To meet growing consumer demand, Minute Menu is excited to announce that we will be performing infrastructure upgrades. Upgrading our infrastructure will commence Saturday, October 28th, at 2:00 a.m. CST and is planned to conclude Saturday, October 28th, at 9:00 p.m. CST. This upgrade requires the suspension of services during this maintenance window. We will send an update once maintenance has concluded.

HX Mandatory Release 2.22.0

A new Minute Menu HX Upgrade is available!  This newest version of Minute Menu HX – 2.22.0 – contains several updates and bug fixes for Minute Menu HX.

The 2.22.0 is a mandatory release as it contains critical preparation to support the roll out of features for the new meal pattern requirements. The following list provides a description of the feature updates and bug fixes that are included in this release:

Feature Updates:
• Database: Contains the new database structure that supports the changes required by the new meal pattern. This will allow future releases that contain changes to the application code, for the implementation of the new meal pattern requirements, to become optional until sponsorships are ready to adopt the new rules.
• Messages: Update to the delete claims warning message.
• Reports: Changed the Claim and Review Comparison Report to use a 24 month lookback period. Future revisions will allow for a user-selected date range.

Bug Fixes:
• Reviews: Resolves an issue that prevents training times from saving for some reviews.

This update is mandatory and will need to be applied in order to run a transfer data.

HX 2.21.6 – 2.21.13 Optional Release Notes

The 2.21.13 release contains the following feature updates and bug fixes:

Bug Fixes:

  • Reports: Resolves an error, introduced in 2.21.12, which prevented  users viewing the following reports:
    • Provider Tax Report
    • Sponsor Review Worksheet
    • Scheduled Menu Report
  • Scheduled Transfer Data: Resolves an error, introduced in 2.21.12, which prevented transfer data from executing when it was started from the command line by an automated scheduler.
  • Provider Processes: Resolves an error preventing the successful execution of the following functions:
    • Reactivate provider
    • Place a provider on hold
    • Change a providers status from on hold to active

The 2.21.12 release contains the following feature updates and bug fixes:

Features:

  • Real time communication with cloud servers: This version of HX client allows beta customers direct access to the HX cloud environment, enabling real time interaction with providers using Kidkare.   This will provide a reduction of maintenance costs, as local databases and database servers are no longer required, simplified data protection strategies, and remote access for monitors using HX outside of sponsor facilities.This version still supports all existing methods of connection to both local and cloud databases.

The 2.21.11 release contains the following feature updates and bug fixes:

Features:

  • Track Received Claims Speed Enhancement: Modified the method used to determine if a claim originates from Kids or KidKare leading to increased speed in the track received claim screen and report.
  • Track Received Claims Report: Offers the option to include claims from Kids or Kidkare in order to define which system the claims were submitted from.
  • Updated Form H-1542: The permanent agreement between sponsoring organizations has been updated for compliance with Texas department of agriculture requirements.
  • Sponsor Review Worksheet: This report originally required the presence of a review and meal record. This has been updated to now display a reviews history when meal records are not present.

The 2.21.10 release contains the following feature updates and bug fixes:

Features:
• Export File: Updated the training list export file to split the providers first and last name placing them into two columns instead of one in the exported file.
• Label Changes: Updated a range of labels to increase consistency between Minute Menu applications.

Bugs:
• Food Frequency: Set a max length of 50 characters for the Food Frequency Rule Name.
• Training List Export File: Resolved a data related export error.
• Provider: Resolved the inability to save provider gender in prior versions of HX.


The 2.21.9 release contains the following feature updates and bug fixes:

Features:
• Claims: Added a new accounting style option for claim upload files. The new option is a variation on the existing “By Submission” option. This option will allow users to export claims with their specified submission date, the original claim and any adjustments with a submission date prior to the selected submission date.
• Claims: Added a new file for Virginia
• Claims: Added a new file for Georgia
• Report: Updated the Permanent Agreement Between Sponsoring Organization and Day Care Home Provider(s) (Form 1542) for Texas
• Claims: Added additional information to direct users to reset the claim processing flag, which was introduced in 2.21.7

Bugs:
• Report: Calendar notes that are missing from OER report has been resolved
• Claims: Increased the loading speed of the track receive claims screen
• Provider: Updated the provider creation wizard to allow for providers that contain apostrophes
• Provider: Resolved the inability to save provider email in prior versions of HX


We have renumbered the newest version of Minute Menu HX to 2.21.8.  The original update file for 2.21.7 contained an error in the OER reports that we caught and fixed early yesterday.  If you updated prior to noon Central Time on 10/27, you will need to run this update by going to Administration >> Upgrade Software in Minute Menu HX.  The 2.21.8 release contains the same features as the 2.21.7 release.

This release includes feature enhancements and bug fixes. We encourage you to update to this new version as soon as possible, particularly if your agency uses KidKare.

• Changing a provider’s password or reactivating a provider will now automatically update KidKare.
• Changing an HX user’s data now updates KidKare.
• Track Received Claims Screen now shows which claims were received via KidKare.
• The Food Frequency tool can now detect a single serving of a food. This change was made to facilitate training on the new meal pattern. Please see the handout at the bottom of these notes for details on this feature.
• Allows processing of claims, for different providers, from 2 workstations at once without the risk of duplicating claims.
• Increased the capacity of the Notes for Next Review Field.
• Now prohibits scanning over a web claim that has been submitted to the state or paid.
• Added all infant menus to the Review Details Report when individual menus are recorded.
• Updated or implemented the following state upload files: o Pennsylvania (claim) o Nebraska (provider) o Texas (provider)

Bug Fixes:
• Fixed a bug on the Child Attendance Reconciliation Report where the report would break if child times were after midnight.
• Fixed a bug when enrolling a provider that could cause a “provider already exists” error message but the provider was not showing up in HX.
• Fixed an OER bug where a long list of days and meals for an error was cutting off rather than wrapping to the next line.
• Fixed a bug from 2.21.5 that prevented changes to menu and attendance information in HX on reviews recorded using hx2go.
• Fixed a bug on the Child Attendance Reconciliation Report where the names of Pending status children with no child number who were enrolled via KidKare were missing from the report.
• Made changes to Transfer Data to eliminate some transfer errors.
• Fixed a bug on the Food Combination feature that would fail to save a combination rule if the name of the rule was more than 50 characters.

  • Fixed a bug where users would receive an error message that the server could not be reached when trying to add or update an HX user.
  • Fixed a bug where manually entered reviews were not saving the meal type reviewed if additional meal information was not entered and only a meal type reviewed was selected.  This bug was introduced with version 2.21.5. If you upgraded to 2.21.5, we will be fixing any incorrect review data by the end of the week, which will update your local database with your next subsequent Full Transfer Data.

You do not have to apply this update – it is optional.  However, it is strongly recommended, particularly if you are currently using KidKare or planning to start using KidKare soon.

HX 2.21.1 Optional Release Notes

This release includes 2 bug fixes for bugs introduced with the 2.21.0 release.

  • Fixed a bug for users who history child data (Sponsor Preference U.001 set to “Y”). Changes made to a child’s data for months prior to the HX current claim month were not saving.
  • Fixed an issue with one customer’s custom check file.

Customers who use the Historic Data function should install this update immediately and have been notified via email of the release.

HX 2.21.0 Mandatory Release Notes
